Hotel reservation terms & conditions

Applies to all bookings made through Apex Summit for DSAA 2026.
  1. Payment policy

    Full payment is required at the time of reservation to secure and confirm the booking.

  2. Conference venue hotel rates

    Preferential rates for the venue hotel are valid only until 5 September. After this date, the hotel may revise tariffs without notice, subject to availability.

  3. Premium hotel pricing

    Rates at premium hotels are dynamic and may rise as occupancy increases. Availability at advertised rates is not guaranteed until the reservation is confirmed.

  4. Cancellation & refund policy

    Refunds, where applicable, are governed by the respective hotel's cancellation policy. No cancellation charges apply for cancellations made before 1 September. Cancellations after this date incur a 10% charge, subject to the hotel's terms.

  5. Room availability

    Room requests must be sent before 5 September, 2026. Rooms are allocated on a first-come, first-served basis. Premium hotels are being booked quickly during the conference period, and displayed rates are subject to availability at the time of confirmation — early booking is strongly encouraged.

  6. Room tariffs

    All published rates are quoted per room, per night. Where indicated, 18% GST is included in the quoted tariff.

  7. Check-in policy

    Standard check-in for the venue hotel and all participating premium hotels is 2:00 PM.

  8. Early check-in requests

    Early check-in, particularly before 8:00 AM, is generally unavailable and cannot be guaranteed. Requests are accommodated at the hotel's discretion, subject to availability, and may carry additional charges.

  9. Airport transfers

    Transfers can be arranged at ₹1,500 one-way, per car. Send airport trasfer request at smapexsummit@gmail.com

  10. Card payment fee

    A 2–3% bank fee applies to American Express, debit or credit card payments and will be shared on the invoice. No bank charges apply for direct bank transfers.
